Agenda Item #1-. Welcome and Introductions
Rich Jacobs welcomed the group and expressed appreciation for the willingness to move to the ICN room at the last minute. This will allow a presentation later in the meeting. Following introductions, the April minutes were accepted and have been placed on file.
Agenda Item # 2 - Information Technology Services
Dave Arringdale introduced Kip Peters who provided information regarding his background and current initiatives. Presently Kip is attempting to visit agencies to discuss their objectives to offer security planning services. Kip views his role as a enterprise security coordinator and welcomes agencies taking advantage of his services.
In the future, Kip will be organizing working groups to assist in the identification of security policies. Once developed Kip hopes to present these policies to the ITMC for review prior to submission to ITS.
Doug Kern reported on the joint initiative to install a help desk support software provided by GWI . The software offers both a Lotus Notes based application and a web based application. ITS is working with Revenue and Finance for the initial install. In addition Iowa Workforce Development currently utilizes the solution. Doug offered to discuss this application with others who are interested.
Rich Varn spoke on two initiatives:
1. Correspondence Management- Rich indicated that he has recommended that Governor's Office acquire software known as Capitol Correspond, to use in managing correspondence received. In addition to providing the solution to the Governor's Office, the acquisition will include one license for each agency for use in managing correspondence between the agency and the Governor's Office. The possibility to leverage the contract to allow additional purchases by state agencies was discussed. Cathy Cullor was identified as an ITS contact and the vendor's
representative was identified as Kathy Dodge.
2. E- Mail - Rich discussed his efforts to meet with representatives marketing Lotus Notes and Exchange to identify the potential for inter-operability between the applications. Rich indicated that a series of standard issues were discussed with both parties and that he anticipates in the near future that he would be bringing the vendors and the agencies together to discuss the use of these two products as an enterprise solution for e-mail.

Larry Grund and Judy Peters each used this opportunity to encourage Rich to look into enterprise licensing approach for Oracle. Dave Arringdale indicated that this would be referred to Jim Day.
Leon Schwartz asked about the planning that was being conducted for FY 2001 and its implications on agency budget planning. Rich Varn indicated that it was a complex issue and that several alternatives were being considered by ITS as options to fee based services. These might include Lump Sum billing, contracting for ITS service employees and possible providing of Server farms for agencies to utilize. Rich indicated a willingness to discuss these options with each agency.
Lowell Sneller presented the initial application of the Iowa Intranet being developed by ITS, Lowell indicated that the objective is to develop a resource where information of use to state staff could be presented. As with other applications, Lowell's perspective is that the information will be maintained by the agency of ownership.

Agenda Item # 3- Iowa Communications Network-
Steve Palm reported on the progress being made on insuring communications equipment will achieve Y2K compliance. Switches and PBX have been upgraded. Routers on the network are being converted with the process expected to take ten weeks.
Steve also reported on efforts being made by ICN and CDS to improve directory synchronization for the Iowa Hub. The efforts are expected to result in improvements that will occur in the next two weeks which will allow the roll-out of the faxing from desktop capability.
Mike Bacino reported that PSINet is the states new Internet supplier. In response to questions Steve and Mike indicated that cost information for next fiscal year for communications and Internet services will be provided to agencies in the near future.
Agenda Item 4- Information Sharing
Larry Grund discussed recent success in Public Safety with Zero Administration Windows Servers and the increase in performance that was being achieved.
Carol Stratemeyer reported that the Department of General Services would be working on a new application that was going to be required for large agency who utilize UPS. The plans include visitation with each of six to eight large mailing agencies and design and implementation of a system by October.
