Minutes: ITMC Meeting on March 30, 2000

 

  1. Welcome and Introductions:

The meeting was chaired by Leon Schwartz

Next month’s meeting will be on April 20th which is not the regular date of the last Thursday of the month.

 

2. ITS Update – Rich Varn & IT Staff

Rich Varn provided an update on bills before the Legislature.

RSM McGladrey’s survey identified that the budget for technology is short 45 million, and there is 61 million estimated actual spending, 83 million estimated desired spending and 108 million spending what we should be spending.

The ART project stands for Iowa Administrative Rules Terminal, which stores Administrative rules. This project will be based on Domino.doc which allows fpr tracking various documents, document types and versions. Information on this project can be found on the ITS home page and can be viewed by the public and employees.

There is a good reference document on technology standards and planning which can be ordered, the CIO’s Architecture Booklet 703-487-4650.

Ken Adrian of ITS is working with IBM on the Licensing project.

Tom Shepherd spoke about the Governing magazine survey, which he passed out to all attendees, and distributed to all agencies. The survey is 27 pages long, and can be obtained on the website.

The survey is due back by April 21, 2000.

A new Information Technology Service brochure will be sent out to all department Directors and state agencies.

Jim Day of ITS spoke on contract 1680, General Services intends to extend the contract through June 30, 2000 at which time they intend to rebid this contract. The discussion amongst the ITMC membership is that comments and desires about this contract should be sent to Dick Smith in the Department of General Services Purchasing, he can be contacted at 281-7073.

There are 120+vendors involved in the 1680 contract.

 

3. ICN update – Tony Crandell

Tony Crandell spoke on the User rate. There will be meetings going on next week regarding capacity issues and servers being down. April 20, 2000 is the date of the meeting.

 

4. Enterprise LAN Services-Sharon Sperry

Several Department head have met about the need for an Enterprise Resource Planning (ERP) system.

Sharon Sperry spoke on what is ERP is and it’s benefits in making the entire organization aware of goals and processes from end to end.

The advantage of the ERP is shared data, high level of intergration, and intergrated

applicatons.

Some ERP vendors are Oracle, JD Edwards, Lawson, People Soft and SAP.

Some states are signing a leasing agreement, such as Pennsylvania and Arkansas.

 

5. Email Naming Standards-Doug Kern

Rich Varn gave the introduction on the E-Mail naming standards.

6. Enterprise LAN Services-Kathy Cullor

Kathy Cullor spoke on the services the Enterprise LAN Services has to offer.

Sample Services include: complete connectivity from your pc to the Hoover Building, providing mail services, desk top support to Attorney General, General Services and the Governor’s office.

Procedures are to be posted to the web.

ITS can provide complete e-mail and network management including server management or application hosting.

 

7.ITS Server Farm Rollout-Wes Hunsberger

Wes Hunsberger spoke on the survey and service matrix documents emailed last week to all department heads, IT department contacts, and members of both the ITMC and NAG. Agencies are asked to complete the documents before their server farm interview, and the interviews will be conducted throughout April.

Interviews with each agency will capture current server information and document the desired level of service in this area, those services to be provided by the agencies, services to be provided by ITS and combinations of both.

Server information gathered during this project will be shared with the Governor’s Office, the Department of Management and the Legislature.

Also discussed during the interviews will be those functions not currently performed by ITS but needed by the agencies.

Interviews will be conducted by Wes and a LAN team member, either Kathy Cullor or Cheri Kenworthy.

8. Iowa Software Association-Dawn Connet & Jennifer Doye

The email Address is (www.iasoftorg) which list the services that they provide. They are becoming more active in public policy education and are working in support in of the creation of the Department of Technology and for a steady funding stream for technology. All technology professionals were encouraged to get educated about how investments in State technology projects represents an investment in the infrastructure of government.

The Iowa Software Association is a 2 yr old organization that started out in the Department of Economic Development.

HF 2205 E-Commerce passed the house, and is now before the Senate.

Two bills that are being looked at include SF2433, IT Funding- infrastructure funding and the SF2395 is the IT Department Bill.
